Required Qualifications: - Associate degree.
- Requires a minimum of four years of related experience. Must demonstrate proficiency with the Microsoft Office Suite (Word, Excel, PowerPoint, Publisher), Adobe Creative Cloud applications, and other enterprise or custom software systems, as well as general computer hardware and peripherals.
Key Responsibilities: - Compiles accurate and complete information and data for periodic and special reports;performs research and retrieval of records; conducts statistical comparisons ofinformation; setsupandmaintains recordsystem forarea ofresponsibility. Gathers andsubmits as appropriateinformation for payroll in a timely manner.
- Creates and completes departmental and college forms, types correspondence, reports, memos, contracts, schedules, manuals, documents requisitions, and related pletes and submits purchase requisitionsfor supplies and materials;assists with accountability of purchases.
- Maintain tracking systems for departmental initiatives, reports, and recurring administrative requirements to ensure deadlines are met and projects remain on schedule.
- Providesadministrative supportfor Vice Presidentof AcademicAffairs, includingcoordinatingoffice operationsand assisting with budget preparationand monitoring. Keeps appointmentcalendars and schedulesappointments;makes reservationsand travel arrangements;receives and screens calls,providing advanced information, or referring callers to appropriate staff.Processes and distributes incoming departmental mail.
- Proactively identify administrative needs, develop practical solutions, and implement organizational systems that support efficient departmental operations and timely completion of projects and reporting requirements.
- Provide guidance and coordination for administrative support staff across the departments served, promoting consistent procedures, effective communication, and efficient completion of administrative processes.
- Assist with reviewing and refining administrative processes, forms, and documentation to improve efficiency, accuracy, and consistency across supported departments.
- Tracks,maintains,andreconciles budget information forassigned department;assists withannual budget preparation.
- Attenddepartmental, staffandotherprofessionalmeetings, asrequested, toexchangeinformationortake minutes.Serve as departmental liaison as directed by supervisor.
- Other duties and special projects as assigned and directed by the President or their designee.
Knowledge, Skills, & Abilities: - Strong written and verbal communication skills are essential.
- Be skilled in customer service, scheduling and recording keeping.
- The successful candidate must perform skilled work involving set procedures and frequent problem solving.
- Possess an eye for detail to produce accurate results, proper grammar and business letter composition skills.
- Must be flexible, creative and have the ability to work as a team and independently.
- Ability to work independently with minimal supervision while managing multiple priorities effectively and efficiently is required.
- Ability to create charts and graphs; summarize, tabulate, and format data; and apply logical reasoning to analyze information and solve practical problems.
- Ability to read and interpret technical instructions, procedural manuals, and charts, and to prepare routine and specialized reports, forms, correspondence, and business documents is required.
- Must be able to perform a wide range of clerical and technical administrative tasks requiring knowledge of multiple procedures.
